Billing Dispute Policy

We want every charge to be clear and correct. If you see a charge from Protocol Fitness Technologies, Inc. ("Protocol") that you do not recognize or believe is incorrect, please follow the process below before contacting your bank or card issuer. Most billing issues can be resolved quickly and directly.

1. Identifying the Charge

Charges from us appear on your statement under a descriptor that includes "Protocol CRM" or "Protocol Fitness Tech." If you are unsure whether a charge is from us, contact us with the charge date and amount and we will help identify it.

2. How to Raise a Billing Dispute

Send an email to info@protocolcrm.com with the subject line "Billing Dispute" and include:

Account details: the name and email associated with your Protocol CRM account.

Charge details: the date and amount of the charge in question.

Reason: a brief description of why you believe the charge is incorrect.

Supporting information: any additional context such as screenshots of the statement.

3. Our Response

We will acknowledge your dispute within two (2) business days and aim to resolve it within ten (10) business days. If we need additional information or time, we will let you know. Where a charge was made in error, we will issue a refund to the original payment method. Where the charge was correct, we will explain the basis for the charge and any options available to you.

4. Chargebacks

We ask that you contact us before initiating a chargeback with your bank or card issuer. Chargebacks are costly and time-consuming for both sides and are rarely necessary if we are given the chance to resolve the issue directly. Filing a chargeback without first contacting us may result in suspension of your account during the investigation period. If a chargeback is filed in bad faith or for a charge later determined to be valid, we reserve the right to recover associated fees and to terminate the account.

5. Unauthorized Use of Your Account

If you believe someone has used your account or payment method without your authorization, contact us immediately at info@protocolcrm.com so we can secure the account and investigate.
